Operations Coordinator
Full time, Monday through Friday, 8:30 am to 4:30 pm
Hybrid – 2 days per week in the office
Location:  180 Attwell Drive, Suite 380, Toronto, ON, M9W6A9

About The Position

The Operations Coordinator reports to the Operations Manager and provides operational support for the various recycling programs in Ontario and service partners throughout the province to ensure compliance and operational effectiveness. The ideal candidate should possess excellent communication skills, strong problem-solving abilities, data analysis and the ability to thrive in a fast-paced environment.

The duties of this position include, but are not limited to:

Operational Support

  • Review and ensure information accuracy of all service provider information in CRM.
  • Ensure all service partners are registered with Resource Productivity and Recovery Authority and comply with their respective regulations.
  • Co-ordinate all regulatory reporting with service providers.
  • Answer service provider questions related to the program(s).
  • End-of-life product management
    • Ensure processors adhere to and comply with product management and recycling efficiency rate regulatory requirements.
    • Coordinate the diversion reporting with processors to ensure accuracy and is being submitted in a timely manner.
    • Provide analysis and report on product diversion to the Operations Manager.

Collection Site Administration

  • Coordinate with service providers and Program Coordinators to ensure high quality service to collection sites.
  • Conduct regular audits to ensure compliance with operational policies, procedures and regulations.
  • Coordinate and manage daily operational activities, including scheduling, resource allocation and task assignment.
  • Monitor & maintain inventory levels of supplies, equipment, and materials for operations.
  • Develop and implement efficient operational systems, processes, and procedures to enhance productivity and quality.
  • Collaborate with various departments to streamline operations and improve interdepartmental communication and coordination.

Financial Administration

  • Provide support in budgeting, forecasting, and financial analysis for operational projects.
  • Conduct regular audits to ensure compliance with operational policies, procedures and regulations.
  • Identify areas for improvement and propose solutions.

Reporting

  • Prepare reports on operational performance analyzing for key metrics and trends.
  • Coordinate, administer and report on labpack studies.
  • Analyze program performance data to create reports for program decisions and Board Reporting.
  • Support and write regulatory reporting to the Ontario regulatory authority.
  • Other tasks or duties as required.

What You Bring

The ideal candidate will possess the following skills, experience, and qualifications:

  • Must work well in a team environment.
  • Understanding of waste management supply chain best practices and program administration.
  • Strong organization skills, accuracy, attention to detail, ability to effectively manage multiple/diverse tasks, set priorities and meet deadlines.
  • Self-motivated, and operationally driven
  • Strong interpersonal communication (written and oral), people skills and customer service.
  • Ability to anticipate, identify, and resolve service and operational problems with a results-oriented approach to performance.
  • Strong analytical aptitude with the ability to understand, interpret data and generate reports.
  • Excellent computer skills are essential to this position including strong working knowledge of MS Office (Word, Excel, Outlook) with a preferred keyboard speed of 50+ wpm. Power BI and working knowledge of databases.
